THE OPPORTUNITY:
We are currently seeking a Facilities Administrator for a 12-month term to join our Facilities team. Reporting to the Supervisor, Facilities Engineering, the ideal candidate will play a key role in supporting ARC’s Facilities team by ensuring seamless coordination to keep projects moving efficiently, and support systems, contractors, EPCMs, and Project Managers. In this role, you will be responsible for maintaining accurate project documentation, managing cost‑tracking processes, and ensuring that the tools and systems used by the Facilities group operate effectively.
RESPONSIBILITIES:
- Support Facilities project teams by applying foundational knowledge of facilities and construction processes, while learning ARC‑specific systems, standards, and procedures
- Manage the Facilities SharePoint site, ensuring accurate storage, organization and accessibility of all project documentation and cost‑reporting materials
- Complete monthly accruals and support the full invoicing process using OpenInvoice and SAP
- Coordinate onboarding for any new EPCM (Engineering, Procurement, and Construction Management) companies and contracts
- Collaborate with IT to troubleshoot and resolve issues related to SharePoint functionality, system access, and invoicing workflows
- Work closely with Facility Project Managers to support cost management activities in OpenInvoice and SAP, including vendor invoice review, troubleshooting, and financial tracking
- Schedule and coordinate monthly and biannual EPCM meetings
- Facilitate project look‑back meetings involving contractors, OSSs, and EPCM partners to support continuous improvement
- Pull weekly highlights and key performance indicators (KPIs) from Power BI for reporting and distribution
- Distribute updated standards and documentation to EPCMs and contractors
- Assist in creating Work Breakdown Structures (WBS) as needed
- Administer monthly material transfers and ensure proper documentation and tracking
WHAT YOU WILL BRING TO ARC:
- A minimum of five years of experience in the oil and gas industry
- Experience in a facilities administration, project coordination, or construction support role
- Knowledge of facilities and construction workflows and familiarity with EPCMs and contractor interfaces is an asset
- Experience with invoicing systems such as OpenInvoice and experience with SAP is considered an asset
- Strong working knowledge of SharePoint, document management, and collaborative digital tools
- Ability to extract, interpret and present data from Power BI or similar reporting platforms
- Strong organizational skills with the ability to manage multiple projects, priorities, and deadlines simultaneously
- Comfortable facilitating meetings, coordinating stakeholders, and supporting project look‑back and continuous‑improvement processes
- Strong communication and relationship‑building skills to support collaboration with Project Managers, EPCMs, contractors, IT, and internal stakeholders
- Detail‑oriented approach to financial administration, document control, and reporting
- Ability to work both independently and within a fast‑paced team environment
