THE OPPORTUNITY:
We are currently seeking a Field Office Coordinator to join our Northeast British Columbia (NEBC) Field Operations Administration team. Reporting to Field Manager, NEBC, this role will be responsible for providing front-line reception support to the office, ensuring smooth daily office operations and providing welcoming environment for staff and visitors. The successful candidate will bring strong excellent organizational abilities, foster strong relationships by maintaining a positive and enthusiastic approach, champion ARC’s culture, and demonstrate skill in efficiently handling multiple responsibilities at once.
RESPONSIBILITIES:
- Greet, assist, and direct office guests, ensuring a positive visitor experience
- Answer and direct incoming calls and voicemails promptly and professionally
- Manage boardroom bookings and coordinate lunches as required for meetings and events
- Handle all incoming and outgoing mail, including shipping and receiving duties
- Process invoice payments and respond to vendor inquiries as part of accounts payable activities
- Support the Fleet Coordinator with NEBC fleet management tasks
- Maintain up-to-date contact lists, email distribution, and vacation/work schedules for staff
- Monitor and replenish office and kitchen supplies to ensure availability
- Assist with the organization of staff functions
- Support Incident Command Team as required during emergencies
- Support the Maintenance Team in preparing and distributing weekly/monthly reports
- Manage other reception daily tasks as required
WHAT YOU WILL BRING TO ARC:
- Prior office administration experience is preferred
- Excellent communication and interpersonal skills and the ability to build strong relationships throughout the organization
- Ability to maintain a professional, responsive, and positive work attitude
- Strong attention to detail with the ability to manage multiple priorities effectively while working independently and collaboratively in a team-oriented environment
- Excellent organizational skills, resourceful, a self‑starter, and able to creatively problem‑solve
- Ability to efficiently coordinate events and manage logistics
- Proficiency in Microsoft Office Suite

The base salary range for this position is $57,000 to $74,000 CAD. The posted salary range is reflective of the qualifications associated with this specific advertisement. Exact salary may vary based on qualifications, experience, and skillset. Additionally, all permanent employees are eligible to participate in ARC’s competitive bonus, long-term incentive and benefits programs.
